Write a Complaint is operated by Ardent Pet Company Ltd, a UK company. This service helps individuals generate formal complaint letters and, if requested, have them printed and posted.

What this policy covers

This policy explains what information we collect, why we collect it, how long we keep it, and who we share it with. We keep this intentionally simple.

What information we collect

We collect only the information needed to provide the service you request. This may include:

  • Your name and postal address
  • The organisation you are writing to and their address
  • The text you provide for your complaint
  • Your email address (for a single confirmation email)
  • Payment and order metadata (via our payment provider)

We do not create accounts or ongoing user profiles.

How we use your information

We use your information only to:

  • Generate your complaint letter
  • Provide a downloadable PDF
  • Print and post the letter if you choose that option
  • Send a single confirmation email with your order link
  • Respond to delivery or fulfilment issues

We do not use your data for marketing.

Email

We send one transactional email only, containing your order link.

We never email the letter itself or include complaint content in emails.

Printing and posting

If you choose print and post, we share the minimum required information with a third-party postal fulfilment provider (such as Pingen) to print and send your letter.

These providers process your data only for the purpose of fulfilling your order and may retain it for a limited period in line with their operational and legal requirements.

How long we keep your information

We retain information only for as long as necessary to fulfil your order and handle any delivery or support issues.

  • PDF-only orders: Information is typically deleted after a short period once your download link expires.
  • Print and post orders: Some information may be retained for longer to support postal fulfilment, delivery tracking, or issue resolution.

We regularly review and delete data that is no longer required.

Payments

Payments are handled by our payment provider (Stripe).

We do not store your card details.

Your rights

You have the right to ask what information we hold about you, request correction of inaccurate information, and request deletion of your data once it is no longer required for fulfilment.
